Circle vs a custom platform: polished, flexible, and still not yours

Circle is a polished, flexible community platform. Here's where it shines, where growing communities feel the edges, and what owning changes.

Circle is one of the most polished community platforms you can rent. If you're weighing it against a custom build, the question isn't which one is better. It's whether you want a great space on someone else's land, or a home you own.

Think of it like training in a world class gym. The equipment is excellent, the lights are always on, and somebody else fixes the treadmill. You just don't get a say when they move the squat racks.

Let's be fair to Circle first, because it earns it.

What Circle does well

Circle calls itself the complete community platform, and the feature list backs that up. Discussions, messaging, courses, events, live streams, a member directory, gamification and analytics all live in one place. Add payments with branded checkout, a website builder for landing and sales pages, and an email marketing tool called Email Hub that you can add on.

It's built for speed. You can launch something that looks professional without hiring a developer. A custom domain comes on every plan, and so does bulk import and export, which matters more than most people think.

It keeps getting smarter, too. Circle AI, workflows and AI agents are part of the product, with the heavier automation on the higher tiers.

As of November 2026, Circle's plans on annual billing are:

  • Professional: $89 a month, with a 2% transaction fee
  • Business: $199 a month, with a 1% fee
  • Scale: $419 a month, with a 1% fee
  • Circle Plus: custom pricing, with a 0.5% fee

Who Circle is great for: creators and coaches who want a proven, all in one toolkit they can set up this week. If your community is mostly conversation, courses and events, and Circle's way of organizing those things matches how you already work, it's a strong choice.

Where a growing community starts to feel the limits

Most owners don't feel the edges on day one. They feel them right around the time the community starts to really matter.

Your own app sits at the top tier. Circle lists custom branded iOS and Android apps as not included on Professional, Business and Scale. They come with Circle Plus, which is priced through a sales conversation. On the other plans, members use Circle's own apps.

Costs grow with you. Transaction fees run from 2% down to 0.5% depending on your plan. Professional includes 3 admins, and extra admins are $10 a month each. Removing Circle branding starts at the Business plan.

You arrange their building blocks. Spaces, access groups and workflows are powerful. But they're Circle's blocks. If your coaching method has a shape that doesn't map neatly to spaces, you can end up bending your process to fit the tool instead of the other way around.

The roadmap is theirs. Circle's creator terms say you own your community content, which is good to see. They also say Circle owns the service itself and may change its features "at any time in its sole discretion," with reasonable efforts to give 30 days of notice before retiring something major. Fees can go up with at least 30 days of notice. The terms carve out more protection for Circle Plus customers. All of that is normal for software you rent. It's still worth knowing before you build your whole business on it.

Insight shows you activity. The next move is on you. Circle's April 2024 analytics release added activity scores "to give you detailed insights into member behavior, revenue, and engagement," and its pricing page lists them from the Business plan up. That's real value. The open question is what happens next, when a score drops and someone needs a human to reach out.

Here's how it tends to feel as an owner. You've got a thriving space, you love your people, and there's still a low hum in the back of your mind: who's slipping away right now, and would I even know?

What a custom platform changes

A custom platform doesn't start with features. At TNRM it starts with people, then process, and the platform comes last.

We dig into your business, map your workflows, roles and outcomes, research what works, and design around how your members actually behave. Security is built in from the start, not bolted on at the end. Then we build, launch with your people, and grow with you.

What that changes in practice:

  • Every member's experience is personal from day one. Onboarding fits who they are and why they came.
  • Every role sees only what it should. Members, coaches, staff and the owner each get their own walled off view, with strict privacy and security on every layer.
  • You own it. The platform, the code and the data are yours.
  • Your app carries your name. If you want an app, it becomes the front door to your platform in the App Store and Google Play.
  • You notice before people disappear. Once a member opts in, the platform pays attention to what people do, not only what they say. Did they show up, finish the step, go quiet? Only the owner sees it.
  • Virtual teammates carry some of the load. Welcome messages, member check ins and follow up can run on managed helpers that are trained and tested before going live. Anything that sends, posts, pays or touches a member waits for your OK, and members always know when they're talking with a helper.

Here's one example. Anthony Trucks moved his coaching business, DarkWork, off Kajabi onto a platform TNRM built from scratch under his own brand. It's live in the App Store and Google Play. A concierge greets new members. Access codes set the tier, so free members get a concierge guide and paid members get a coach. Live video coaching sessions are transcribed and analyzed, and the owner, admins, coaches and members each have their own view.

The honest trade off: a custom build takes real thought up front. You don't sign up tonight and launch tomorrow.

Who should stay on Circle

Stay if you're still proving your idea. Stay if conversation, courses and events are the whole product and Circle's structure fits the way you coach. Stay if you'd rather never think about owning software, or if Circle's own app works fine for your members.

There's no shame in training in a great gym you don't own. Plenty of champions do. Put your energy into your people, and come back to this question when the walls start to feel close.
